The first page of the four page customize event dialog provides the ability to rename, hide and set default values for the various fields of an event . There are three columns on this page:

Field Name

This column lists the internal field name for each field. The internal field name is the name the software uses to access a field. Many of the more powerful customization features, such as display strings, use internal field name. This information is presented for your reference only. You may not modify internal field names.

Prompt

The prompt column allows you to change the name of the field as it appears to your end users. For any field you may enter a prompt and subsequently all references to that field use that prompt. This would apply, for example, to the event edit screen, the event review screen, export, and importantly import which allows you to import your own fields. You may hide a field by settings its prompt to empty (see below).

Default Value

The default value column allows you to specify the value a field takes when an event is first created. For example you may wish to enter a certain contact phone number in every new event (see 'user data tokens' below). As another example you may wish to modify the duration of newly created events to be 15 minutes instead of one hour.

There are a few other options on this page that are of note:

Specify end time not duration

By default, when editing events, a user is presented with a duration dropdown box. Checking this checkbox will cause an end date/end time control to be presented instead of the duration dropdown. You may not create an event with a duration longer than 360 days using this feature. Such events are disallowed.

Use as text field (url or artwork)

By default the url and artwork fields have special meanings. The url field is presented as a hyperlink when displayed. The 'artwork' field is interpreted as a path to an image file and is displayed as an image. Checking the 'use as text field' for either of these two fields disables this 'specialness' and allows you to use these fields in the same way you might use a user defined text field.

Notify field

The notify field is used to send email notifications of any changes to the calendar. This field will be hidden, even if its prompt is not empty, unless the email feature is properly configured.

Contact data fields

The second set of contact information (the contact data 2 fields) are hidden as a group on page 4 of the dialog under the 'Hide entire section' checkbox. If you wish to use the contact data 2 fields you must uncheck the hide group checkbox on that page as well as make their prompts non-empty.

Repeat data fields

It is not possible to modify the list of available repeating options. The repeating options that are presented are the only ones available. Also, it is not possible to set the default value for repeat data fields.

Hiding fields

Entering a null or empty string for a prompt hides a field. The default value, if present, applies even if a field is hidden. This may come in handy, for example, to set an email address in the email notifications field, hide the field so users can't change it, turn on automatic emails and get silently notified of all changes made to the calendar.

You may hide entire groups of fields by checking the 'Hide entire group' checkbox on page 4 of this form.

User data tokens

There are certain strings or 'tokens' that you may enter in the default value column for text and dropdown fields. These strings are called user data tokens. A user data token represents a value picked up from the currently logged in user's record. The available tokens are:

Note that you must have already entered contact information for a user in his/her user record for this feature to work. If you want this feature to work effectively you may wish to make contact information required under the user settings dialog.

User defined fields

There are numerous user defined data fields. User defined fields are hidden by default. These fields are provided for your use. You may use them for any purpose. Unhide these fields by setting their prompt to a non-empty string. User defined dates may not be defaulted in the current version of the software.

Because the import feature matches on the field prompt, as well as the internal field name, you may import data into the user defined fields by matching on the prompt you set here.
